– Effective Date: July 2, 2025 –

  1. Acceptance of Terms. By registering for any Partners In Treatment Conference (the “Conference”), you agree to be bound by these Terms and Conditions. Acceptance is indicated by completing the registration and/or payment process, including checking the box to agree to these Terms and Conditions or payment of an invoice with a link to these terms attached. The Effective Date of this version of our Terms and Conditions is July 2, 2025.
  2. Registration Information. Registrants agree to provide accurate, complete, and up-to-date information during the registration process. Any inaccuracies or omissions may result in the cancellation of the registration without refund. The Conference Organizers reserve the right to verify the accuracy of registration information.
  3. Badges. Badges are required for entry into all conference areas and events. Badges are non-transferable and must be worn visibly at all times while on conference premises. Unauthorized transfer of badges may result in expulsion from the Conference without refund.
  4. Noise Policy. Attendees agree to maintain a respectful noise level throughout the Conference. Disruptive or excessive noise that interferes with other attendees’ ability to participate in conference sessions or events is prohibited. In their sole discretion, the Conference Organizers reserve the right to address noise violations, which may include warnings or expulsion from the Conference without refund. 
  5. Photography and Video. By attending the Conference, attendees grant the Conference Organizers the irrevocable right to photograph, film, and record their image, likeness, and voice for use in print, electronic, or other media for promotional, advertising, or other lawful purposes. Attendees waive any right to compensation or approval of such use. If you do not wish to be photographed or recorded, please notify the Conference Organizers in writing.
  6. No Subletting. Registration and attendance at the 2026 Partners in Treatment Conference is personal and non-transferable. Attendees may not sell, transfer, or sublet their registration or conference badge to any other person.
  7. Conduct. Attendees agree to conduct themselves in a manner that does not interfere with the enjoyment of the Conference by other attendees. This includes, but is not limited to, refraining from blocking walkways, entrances, exits, or other common areas; disrupting conference sessions; obstructing other exhibits or booths; or engaging in behavior that is harassing or intimidating to others. Attendees who observe conduct violations should report them to the Conference Organizers at [email protected] or to on-site staff immediately. Reports will be investigated promptly and confidentially.
  8. Disclaimer of Liability. To the fullest extent permitted by law, the Conference Organizers are not liable for any claims, losses, damages, or injuries arising from attendance, except where caused by the Organizers’ gross negligence or willful misconduct.
  9. Shipments. Exhibitors are responsible for arranging and insuring shipments. The Conference Organizers may provide designated shipping and storage areas via the conference center or other methods, but assume no liability for loss, damage, or theft.
  10. Exhibit Space and Conduct. Exhibitors agree to confine all promotional activities and materials to the assigned exhibit space. No canvassing, solicitation, or distribution of materials is permitted outside the designated exhibit area.
  11. Table Relocation. The Conference Organizers reserve the sole right to determine the placement of all exhibit booths and tables. While the Conference Organizers will make every effort to honor exhibitors’ choices for standard, premium, and chosen table spaces, the final placement of all exhibits and tables rests solely with the Conference Organizers. Exhibitors agree to accept the assigned location and may not request or demand a specific location. The Conference Organizers may relocate exhibits or tables at any time for any reason, including but not limited to safety, traffic flow, or operational needs. Exhibitors will be notified of any table relocation as soon as practicable, with an explanation of the reason (e.g., safety, traffic flow).
  12. Cancellations and Refunds. Cancellations must be submitted in writing to [email protected]. The date the email is received by the Conference Organizers will be considered the cancellation date.
    1. Cancellations received on or before February 1, 2026, will receive a 90% refund of the registration fee.
    2. Cancellations received between February 2, 2026, and March 22, 2026 will receive a 50% refund of the registration fee.
    3. Cancellations received after March 22, 2026, will not be eligible for a refund.
    4. Processing fees associated with the original registration may not be refundable.
    5. Registered attendees or exhibitors may transfer their registration to another attendee or exhibitor in writing by notifying [email protected] at least 14 days prior to the conference. Substitutions will be subject to the same registration fee and cancellation policy.
    6. Partial cancellations (e.g., for specific days or sessions) are subject to the same refund deadlines. Substitutions after the 14-day deadline may be permitted at the Conference Organizers’ discretion, subject to a processing fee.
  13. Cancellation by Conference. If the Conference Organizers must cancel the conference due to unforeseen circumstances, registrants will receive a full refund of the registration fee minus any non-recoverable expenses incurred by the Conference Organizers, such as deposits for venue rental, speaker fees, or contracted services.
  14. Intellectual Property.
    1. All intellectual property rights, including but not limited to copyrights, trademarks, patents, trade secrets, and know-how, related to the Conference, its materials, content, and any other materials provided by the Conference Organizers shall remain the exclusive property of the Conference Organizers or their licensors.
    2. Attendees and exhibitors may use the Conference name and logo for promotional purposes related to their participation in the Conference, provided such use does not infringe upon the intellectual property rights of the Conference Organizers or create a false or misleading impression.
    3. Attendees and exhibitors retain ownership of their own intellectual property presented at the Conference, but grant the Conference Organizers a non-exclusive license to use such content for promotional purposes related to the Conference.
    4. Attendees and exhibitors agree to indemnify and hold harmless the Conference Organizers from any claims, damages, or liabilities arising from unauthorized use of the Conference Organizers’ intellectual property.
  15. No Solicitation. Exhibitors and attendees agree not to solicit business, distribute marketing materials, or conduct any other commercial activity on the conference premises outside of their designated exhibit space, if applicable. This includes, but is not limited to, recruiting attendees for employment, distributing promotional items, or conducting surveys without prior written approval from the Conference Organizers. Casual networking, such as exchanging business cards during sessions or social events, is permitted, but aggressive or unsolicited commercial activities are prohibited.
  16. Admission. Admission to the Conference is at the sole discretion of the Conference Organizers. The Conference Organizers reserve the right to refuse admission or to expel any person from the Conference at any time without refund or explanation.
  17. Indemnification. Attendees and exhibitors agree to indemnify, defend, and hold harmless the Conference Organizers, its affiliates, officers, directors, employees, and agents from and against any and all claims, damages, liabilities, losses, costs, and expenses (including reasonable attorneys’ fees) arising out of or in connection with:
    1. Any breach of these Terms and Conditions by the indemnifying party;
    2. Any negligent or willful misconduct by the indemnifying party, its employees, agents, or contractors;
    3. Any injury, death, or property damage caused by the indemnifying party, its employees, agents, or contractors;
    4. Any claims made by third parties arising out of the indemnifying party’s participation in the Conference.
  18. Professional Conduct. All attendees, exhibitors, and sponsors are expected to conduct themselves in a professional and respectful manner at all times. Behavior that is disruptive, harassing, or discriminatory will not be tolerated. This includes, but is not limited to, verbal or physical harassment, threats, intimidation, or offensive language. The Conference Organizers reserve the right to remove any individual from the Conference without refund for violating this policy.
  19. Force Majeure. Neither party shall be liable for any failure or delay in performance due to causes beyond its reasonable control, including but not limited to acts of God, fire, flood, earthquake, epidemic, pandemic, riot, war, terrorism, labor disputes, government actions, or interruptions in transportation, communications, or utility services. If a Force Majeure event occurs, the affected party must promptly notify the other party in writing and use reasonable efforts to mitigate the effects of the Force Majeure event. In the event of a Force Majeure cancellation, refunds will be processed per the ‘Cancellation by Conference’ policy.
  20. Data Sharing and Privacy.
    1. Data Collection. The Conference Organizers may collect attendee information, including but not limited to name, contact information, registration details, and session attendance data. This information will be used for conference administration, communication, and evaluation purposes.
    2. Data Sharing. Attendee information may be shared with third-party service providers engaged by the Conference Organizers for the purpose of fulfilling conference-related services, such as registration, email marketing, and event management.
    3. Marketing Communications. Attendees may opt out of receiving marketing communications from the Conference Organizers by following the instructions provided in such communications.
  21. Damage to Venue. Attendees, exhibitors, and sponsors are responsible for any damage caused to the conference venue or its contents. The Conference Organizers reserve the right to charge the responsible party for the cost of repairs or replacement. Additionally, the Conference Organizers may withhold any security deposit or other funds held by the responsible party to cover the cost of damages.
  22. Changes to This Agreement. We may update these Terms and Conditions to reflect changes in our practices or requirements. Updates will be posted on our website https://pitconferenceaz.com/terms-conditions/ and communicated via email at least 14 days before the start of each Conference. Your continued participation after the effective date constitutes acceptance of the updated terms and conditions.
